Shipping, Move-in & Move-out Information

Shipping Options & Labels

As you prepare for the event, please review the shipping and logistical information below to decide which options will work best for you. Be sure to review all of this information to avoid surprises on-site. 

Shipments All deliveries need to be addressed and sent to the official freight forwarder DB Schenker.  RAI Amsterdam will not accept any freight deliveries, including courier shipments prior to or during the build-up of the event. For more information on deliveries and collections, please refer to the DB Schenker Shipping Instructions below.
  • Deadline to Receive Shipments:
Sea freight (FCL/LCL) = at the latest 14 days prior to the exhibition opening at the Port of Rotterdam
Air freight = at the latest 10 days prior to the exhibition opening at Amsterdam Schiphol airport
Courier & road freight = at the latest 5 days prior to the exhibition opening at our Warehouse at Ankerweg 18 - 1041 AT Amsterdam

Shipping Instructions

Shipping Labels 

Please send DB Schenker (fairs.amsterdam@dbschenker.com) all dates of the transport (i.e.: AWB, B/L, Consignment, Tracking Numbers for courier shipments) in advance via email, before shipping.
For not pre-alerted shipments arriving at our warehouse or shipments arriving after above mentioned deadlines, a late arrival surcharge is applicable.
Official Freight Forwarder & Onsite Handling Agent The official appointed forwarder and on-site handling agent for Commercial UAV Forum is DB Schenker. The appointment of an approved forwarder and on-site handling agent does not oblige exhibitors to use that carrier for the forwarding of goods to their stands, nor the returning of goods to their point of origin, however, the shipment does need to be addressed and delivered to DB Schenker. By using the appointed carrier, you avoid extra charges and benefit from the convenience of having their representative available on-site at all times.
  • All shipments consigned to DB Schenker will be handled by them.  General Cargo = Direct delivery to the stand
  • The exposition organizers and/or their agents will not be held responsible for late, damaged, show deliveries or losses. 
  • The exhibitor remains solely responsible for exhibition material delivered at the stand and/or products delivered to freezer/reefer units.
DB Schenker will perform the following on-site services:
  • Coordination on arrival in Amsterdam Schiphol airport.
  • Handling at Air/Seaport – Trucking to fairground
  • Unloading/Reloading of trucks
  • Storage on arrival/departure
  • Storage/Redelivery of empty crates
  • Rental of forklifts, scissor lifts, etc.
  • Supply of labor for Build Up/ Dismantle/Packing of your exhibits
  • Customs clearance for non-NL shipments
  • Return Freight by Air/Sea/Road (Except Refrigerated Goods)
Air Shipments Exhibitors who will be shipping via air may contact DB Schenker for services and answers to questions by calling +31 (0) 20 549 2790.
Customer Clearance DB Schenker is the official air/ocean freight forwarder for cargo for all shipment coming into the RAI for Commercial UAV Forum as well as the official on-site logistics operator and customs clearance agent. 

Please note:
  1. All shipments by air should be routed to the Amsterdam Schiphol airport and by ocean to the Port of Rotterdam.
  2. Consignment instruction as outlined by DB Schenker in the customs section should be strictly followed.
  3. Advance contact with DB Schenker office for on-time shipment arrival.
Each shipment must have the proper documents. Please be certain to include the following:
  1. Express bill of lading/airway bill.
  2. Packing list / Commercial invoice which can be found by clicking HERE or visiting the Shipping, Deliver, Labor section of the online Exhibitor Manual. Your list should be a detailed account of the contents of each package.
  • Example: Case 1 - One fish net 20' X 40' 400 lbs or cms/kos
  • Case 2 - Five display boards 500 lbs or kos
  • Case 3 - 2,000 pamphlets for handout 300 lbs or kos
  • ORIGIN.
NOTE:  You should not include perishables or giveaways on your ATA Carnet shipments, nor should you place any material in the shipment not specifically listed on the ATA Carnet.
Heavy Freight To expedite the handling of your exhibit material when it arrives in Amsterdam, please adhere to the following: single uncrated pieces weighing over 500 pounds (225 kg) should be skidded. Single pieces weighing over 8,000 pounds (3,600 kg) should be skidded and fitted with lifting rings. RAI should be notified in advance of any single pieces weighing over 5,000 pounds (2,200 kg).
International Freight DB Schenker is the official customs house broker for Commercial UAV Forum. Specific instructions for shipping foreign freight are supplied by them in the RAI Webshop.

Installation/Move-in Information

Installation/Move-in

Move-In will take place on:

Monday, 20 April       09.00 – 17.00
Tuesday, 21 April      09.00 – 17.00
 
*All exhibitors must be moved in and set-up by 17.00 pm on Tuesday, 21 April.
  
     Each exhibitor will receive the stand package they selected. To confirm what is included, please refer to your sales package or contact your sales representative:

Your stand package will be set up prior to your arrival. Any additional orders placed through the RAI will be delivered directly to your booth. If you are bringing or shipping your own materials, your team may set them up upon arrival.

Drayage/ Material Handling

Drayage – or Material Handling – is defined as the transfer of exhibit materials from point of arrival at loading dock to exhibit location, removal of empty crates, return of crates, and return of exhibit to dock for load-out. If you will require labor for delivering your materials to your stand from the dock, union labor will be available to help you with your drayage. We encourage exhibitors to have their material delivered to the warehouse in advance to take advantage of the most cost-effective material handling rates.
Hand-Carry You are allowed to hand carry items into the RAI.  You will need to park first, parking is available in lot P1, P2, P3 or P4.  Click here to view the parking map.

*Exhibit Hall 13, Elicium Ballroom, is circled in blue.
Personally Operated Vehicles (POV's) Privately Owned Vehicles (POVs) are defined by the RAI as large vans. Approximately three weeks before the show begins, exhibitors can book an unloading and loading time slot at no charge here. 
On arrival, your truck/booking is then scanned and sent directly to its reserved loading and unloading location. 
Exhibitors with cars or small vans that do not qualify for this service can park free of charge in parking lots P1 through P4 during the build-up days.
Cart Service Cart service is not provided by the RAI. Exhibitors are responsible for transporting their own materials into the hall. Flat carts may be brought by the exhibitor or rented from DB Schenker.

Dismantle/Move-Out Information

 Move-out Hours

Thursday, 23 April     15.00 – 19.30

DB Schenker will begin returning empty containers at the close of the event.

*Please Note: All exhibitor materials must be removed from the exhibit facility by 19.30 on Thursday, 23 April. To ensure all exhibit materials are removed from the exhibit facility by the move-out deadline, carriers must check in no later than 19.30 on Thursday, 23 April.

Dismantling

All stands must be staffed during all expo hours. Exhibitors are not allowed to begin dismantling their exhibits, part or whole, before the close of the event at 15.00 on Thursday, 23 April. Please review the Event Schedule and plan accordingly when booking travel for the event. At the close of the Expo, all exhibitory must be removed from the halls at the expense of the exhibitor. The Exhibitor shall reimburse Diversified and the General Services Contractor for all costs incurred due to its failure to comply with this requirement.

Label All Freight

Make sure all freight is clearly marked with your company name, Commercial UAV Forum, and your stand number. To expedite material handling, please place labels on the SIDES of your containers. All containers must indicate the following information:

                                Europaplein 2 – 22 / p9
                                NL – 1078 GZ Amsterdam  

Notify:         <name of exhibitor>
                    c/o Commercial UAV Forum 
                    Hall 13 / (insert stand #)
Returning Your Freight If not done in advance, you may make arrangements to have your exhibit returned by DB Schenker’s via phone or email. Every outbound shipment will require an Outbound Material Handling Agreement and shipping labels. 

All carriers must check in no later than 19.30 on Thursday, 23 April. Drivers not checked in by this time will risk the possibility of their shipments not going out on the house carrier and incurring additional costs. Be sure your carrier knows the company name and stand number when making arrangements for shipping your exhibit at the close of the event.
