Important Event Related Information

Important Material Handling & Shipping Notice	We encourage exhibitors to ship your materials to the RAI warehouse to ensure that your materials are in your booth for Monday or check with your carrier for Monday delivery options.*
What is included in your stand?	Please reference your sales package or reach out to your sales representative, Carmella Perrone, cperrone@divcom.com or Dominique Caron, dcaron@divcom.com, to find out what’s included in your stand. Stand Packages Stand packages are exclusive of the following: Electricity, 3kw and daily cleaning. If you need additional services, please visit the RAI Webshop.
Stand Cleaning & Porter Service	If you have ordered a Stand Package that includes cleaning, your stand will be cleaned at the beginning of the exhibition only. If you need additional services, you can order through the RAI Webshop.
Carpet & Floor Covering	The Exhibit Hall is carpeted
Liability Insurance	Exhibitors are encouraged to carry their own general liability insurance as well as any additional property or theft insurance they deem appropriate but are no longer required to provide to Event Management evidence of that insurance or name Diversified Communications as an additional insured on the exhibitor’s policy. As has always been the case, exhibitors remain exclusively responsible for theft or damage to their personal property and are advised to secure their valuables at all times.
Alcoholic Beverages & Catering	RAI Amsterdam is the exclusive catering provider. All food and beverages must be purchased from the RAI. Bringing alcoholic beverages into the building is strictly prohibited.
Stand Design Regulations	All booths must be built by the RAI and have a maximum height limit of 2.44 meters. If you have questions, or don’t know your stand type please reference your sales package or contact your sales representative Carmella Perrone, cperrone@divcom.com or Dominique Caron, dcaron@divcom.com.
Exhibit Display Walls	There should be no visible loose wires or obstructions. If not followed, Event Management will arrange draping at the exhibitor's cost. Transparent back walls or displays that do not fully cover the back wall entirely are not acceptable. The backside of walls (the common border facing a neighboring stand) must be devoid of copy, logos or other graphics, so as not to be an eyesore to neighboring exhibitors or appear as part of their display.
Waste Procedure	Keep it green! Recycling containers for waste, paper, cardboard and glass must be ordered through RAI Amsterdam. There will be no public waste bins available. All waste bins MUST be ordered ahead of time through RAI Webshop. All companies are responsible for their waste collection and removal during installation & dismantling days and must maintain general cleanliness at all times. Please plan accordingly. Exhibits must be fully dismantled, and all structure and materials must be taken back with you at the end of the exposition. Any structure or materials left behind will be charged back to the exhibitor at a rate of 10 Euros per square meter with a maximum charge of 2,000 Euros per stand. This regulation will be strongly reinforced onsite.
Give-Aways & Lotteries	There are strict restrictions for raffles and lotteries at the RAI, a permit is required. You can request a permit via permits@Rai.nl.
Hand-Carry Policy	You are allowed to hand carry items into the RAI. Please park first in one of the available lots: P1, P2, P3 or P4. View the parking map. Exhibit Hall 13, Elicium Ballroom, is circled in blue.
Helium Balloons, Adhesive Materials & Other Materials	Event Management does not allow helium balloons to be used as part of an exhibitors display nor may they be distributed. The use of glitter, confetti, sand, or simulated snow types of material, as well as popcorn, is NOT permitted. Any costs incurred by Event Management for the removal of these items will be charged to the exhibiting company.
Labor Rules	Your stand will be built by the RAI. If you have other items to place in your stand as an employee of the company, you can set these items.
Maintaining Professionalism	Event Management reserves the right to prohibit or remove any exhibit which, in its sole discretion, detracts from the general character of the exhibition as a whole or consists of products or services inconsistent with the purpose of the exhibition. The right to prohibit includes persons (dressed in a sexually suggestive or offensive manner), things, conduct, printed matter, or anything of a character which the organizers, in their sole discretion, determine objectionable. In the event of such prohibition or removal, the organizers shall not be liable for any damages, including refunds or other exhibit expenses.
Minors	This event is open to trade professionals only. Due to liability restrictions, no one under the age of 18 will be granted admittance at any time. There will be no exceptions.
Music, Photographs, & Other Copyrighted Material	Exhibitors are responsible for obtaining all necessary licenses and permits to use recorded music, photographs, and other copyrighted material in Exhibitor’s exhibit space. As agreed in its Space Contract, Exhibitor shall remain liable for and shall indemnify, defend, and hold Diversified harmless from all losses, costs, claims, causes of action, suits, damages, liability, expenses, and costs, including reasonable attorney’s fees, arising from any and all copyright infringement that Exhibitor, its agents, or employees may be accused of related to the Event.
Operating Your Exhibit & Sound Limitation	All activities must be contained within the exhibit area described in your application for exhibit space. No selling or promoting will be allowed in the aisles, other exhibitor stands, entrance/exits, or other public areas. Promotion of other events is strictly prohibited. Attendees viewing video monitors must be within your exhibit space, not crowded in the aisles. Music may not exceed background audio level. All speakers must be facing into the exhibitor’s stand and not away from the stand. Loudspeakers and carnival tactics will not be allowed. Please be a considerate neighbor. Event Management reserves the right to shut down any receptions, presentations, or other activities which are deemed obstructive or prohibitive for neighboring stands to be able to conduct business.

Photographs and Videos Limited	Due to the sensitive nature of new products and unique displays accessible at the Event, photographs or video of the stands of other Exhibitors' stand on the Event exhibit floor or screen shots of others' virtual stands are prohibited. Attending personnel of exhibitors or qualified press must seek advance written approval from Diversified to photograph, film or make audio recordings at the Event and must abide by all conditions imposed.
Security	24-hour security service will be maintained in the exposition area from the initial move-in period until the last piece of freight is removed. However, exhibitors are reminded that they are responsible for the protection of their own product and exhibit materials. If you need additional security, you can order through RAI Webshop.
Smoking	The venue is a non-smoking facility which includes vaping & electronic cigarettes.
Solicitation By Non-Exhibiting Companies	For the protection of all exhibitors, only those companies whose Application for Exhibit Space has been approved by Event Management will be allowed to present and sell their products. If a representative from a non-exhibiting company is seen Soliciting business on the show floor, please request a business card from that person and give it to an Event Management representative. We will take the necessary steps to curtail this activity.
Wireless Internet (Wi-Fi)	Wireless Internet (Wi-Fi) is not provided throughout the show floor. If you need internet, you can purchase a dedicated internet drop for your stand through RAI Webshop.

Important Information

Recently Commercial UAV Forum has been the target of groups that offer a variety of fraudulent services. This includes but is not limited to fraudulent travel, advertising, and data services. Many of our customers have reported that these groups who are not our official vendors fail to deliver on their promises to provide hotel reservations, advertising, or accurate data, then refuse to grant refunds. Some of these groups engage in illegal phishing practices or embed malware in their messages that could (if clicked) infect/hack your company’s systems. We strongly advise that you do not click on any links from e-mails or groups that look suspicious and always check our Official Vendor List before contracting with anyone. If you suspect that you have been contacted by a fraudulent vendor or have any questions, please contact us at customerservice@divcom.com. Please note that Commercial UAV Forum and its official vendors DO NOT sell attendee lists under any circumstance. Companies or groups offering such lists are not affiliated with Commercial UAV Forum in any way and cannot possibly have accurate attendee data. Buyers should beware!
